OPERATIONS / DESCRIPTION
Job Description: Bookkeeping Associate
The written agreement between the role and the business: what the job is for, what it does day to day, and what a good year looks like. Keep it current — it doubles as the hiring brief and the new hire's first-week reference.
Role | Reports to | Location / schedule | Salary band |
|---|---|---|---|
Bookkeeping Associate | Elena Vasquez, Office Lead | Harborlight Bookkeeping office, Mon–Fri 9–5 (one remote day after probation) | $52–58k, depending on experience |
Purpose of the role
Keep client ledgers clean, current, and reconciled so the senior bookkeepers can focus on advisory work and month-end review.
Responsibilities
Post and reconcile client transactions in the ledger system, daily.
Prepare monthly bank and credit-card reconciliations for an assigned client list.
Chase and organize missing receipts and statements from clients.
Prepare first-draft monthly close packets for senior review.
Answer routine client questions about documents and deadlines.
Required qualifications
Two or more years of bookkeeping or accounting-support experience.
Solid command of double-entry basics and reconciliation.
Comfortable switching between several client contexts in one day.
Preferred qualifications
QuickBooks Online ProAdvisor certification (or ready to certify within 90 days).
Experience serving more than one client at a time in a firm setting.
Some payroll-administration exposure.
Success expectations
Timeframe | What good looks like |
|---|---|
30 days | Owns 5 client ledgers with reconciliations current within 5 business days of month-end |
90 days | Owns 12 client ledgers; close packets need only light senior edits |
1 year | Trains the next associate on the receipt-chasing workflow |
How we work
Deadline-first: the 10th of each month is sacred for client deliverables.
Write things down: procedures live in the office SOP register, not in someone's head.
Ask early: a blocker raised Monday is normal; one raised on the 10th is a problem.
This description is the reference for screening, interview questions, and the eventual offer — when the role changes, update it here first.
